Campaign Mailboxes
Overview
Managing mailboxes effectively is crucial for the success of your outbound campaigns in Salesnode. Assigning the right mailboxes and configuring sending settings properly helps ensure your emails reach prospects without triggering spam filters or damaging your sender reputation. This article guides you through mailbox assignment, rotation logic, sending schedules, and key configuration options to optimize campaign performance.
Assigning Mailboxes to Campaigns
You can assign one or multiple mailboxes to a campaign to distribute outbound emails efficiently. This setup allows Salesnode to rotate sending across mailboxes, balancing the load and reducing the risk of deliverability issues.
How to Assign Mailboxes
Follow these steps to add mailboxes to your campaign:
- Navigate to the Campaigns tab in the sidebar.
- Click on the Mailboxes section within your chosen campaign.
- Click the Add mailboxes button.
- In the modal window, select one or more mailboxes from the list of available mailboxes that are not yet linked to this campaign.
- Confirm your selection to assign the mailboxes.
You can add multiple mailboxes at once to maximize sending capacity and improve deliverability.
Mailbox Rotation Logic
When multiple mailboxes are assigned, Salesnode uses a rotation logic to evenly distribute outbound messages. This prevents any single mailbox from being overused and helps maintain a healthy sending reputation for all mailboxes involved.
Sending Schedule and Distribution Strategy
Scheduling your sends properly is key to engaging recipients at optimal times while protecting mailbox health. Salesnode allows you to configure sending days and time windows to match your audience’s availability and your campaign goals.
Key Scheduling Options
- Sends on Weekdays: Limit sending to Monday through Friday to avoid weekends when open rates are typically lower.
- Selected Time Window: Define specific hours during the day when emails will be sent to ensure messages arrive during business hours.
Message Distribution Strategy
Salesnode balances the sending volume across assigned mailboxes and time slots to maintain consistent outreach without overwhelming any mailbox or recipient.
Mailbox Configuration Settings
Each mailbox assigned to a campaign can be configured with specific sending parameters to fine-tune email delivery and protect your sender reputation. Understanding these settings allows you to optimize sending volume and pacing.
Essential Mailbox Configuration Parameters
- Daily Sending Limit: Sets the maximum number of emails that can be sent from the mailbox per day.
- Minimum Sending Delay: The shortest time interval (in minutes) between consecutive sending operations. The allowed range depends on the daily sending limit.
- Sending Volume Ramp-Up: Enables gradual increase of daily sending volume by random increments to safely scale your outreach.
- Ramp-Up Interval: Defines a numeric range for daily increment values. Each sending day, a random value within this range increases the volume until the daily limit is reached. Note that ramp-up resets for each campaign.
Ramp-Up Configuration Explained
What is Sending Volume Ramp-Up?
Sending volume ramp-up is a strategy to start with a lower sending volume and gradually increase it over days. This helps build mailbox reputation and reduces the risk of being flagged as spam.
How Ramp-Up Interval Works
You set a range (e.g., 5-10 emails). Each day, Salesnode randomly picks a number from this range to increase the daily sending limit until the maximum is reached.
Monitoring Mailbox Health and Deliverability
Keeping an eye on mailbox health and sending performance is vital to maintain high deliverability rates and protect your sender reputation. Poorly managed mailboxes can lead to blacklisting or reduced inbox placement.
Best Practices for Monitoring and Protection
- Regularly Check Sending Metrics: Monitor bounce rates, open rates, and response rates to detect issues early.
- Adjust Sending Limits as Needed: Lower daily limits if you notice deliverability problems.
- Rotate Mailboxes Appropriately: Avoid overusing a single mailbox by distributing sends evenly.
- Use Ramp-Up to Build Reputation: Gradually increase sending volume to avoid sudden spikes.
- Avoid Spam Triggers: Follow best practices for email content and recipient targeting.
Neglecting mailbox health can lead to deliverability issues that affect your entire campaign’s success.
Troubleshooting and Configuration Variants
Different campaigns and mailboxes may require tailored configurations. Use the following guidance to troubleshoot common issues and choose the best setup for your needs.
Standard Campaign
Standard Campaign: Use moderate daily sending limits with weekday-only sends and a fixed time window. Apply ramp-up if mailbox is new to the campaign.
